Privacy Policy

Last updated 14 September 2026

This page explains what Latent Media collects through latentmedia.com, why, how long we keep it, and what rights you have over it. We’ve tried to write it the way we’d want it explained to us.

The short version

  • 01We only collect what you type into a form on this site: your name, email, and what you’re asking about.
  • 02No advertising trackers, no analytics pixels, nothing sold or rented to anyone.
  • 03Your submissions live in a private database run by our hosting provider. We’re the only ones who read them.
  • 04You can ask us to show you, correct, or delete what we hold, any time, by emailing us.
01 Who we are

The company behind this site

Latent Media LTD is a private limited company registered in England and Wales, company number 16833485. Our registered office is Office 15468, 182-184 High Street North, East Ham, London, E6 2JA.

For the purposes of UK GDPR and the Data Protection Act 2018, Latent Media LTD is the data controller for personal data collected through this website.

02 What we collect

Only what you give us, plus a little technical context

We collect personal data in one way on this site: when you fill in a form. That covers the project brief, the contact enquiry form, and the newsletter sign-up, wherever they appear on the site. Depending on which one you use, that can include:

  • Your name
  • Your email address
  • Your brand or company name
  • The message or brief you write to us
  • Which of our services you’ve told us you’re interested in

Alongside that, our server automatically records the page the form was submitted from, your browser’s user agent string, and your IP address. This is standard technical context that comes with any web form submission, not something we ask you for separately.

We don’t run Google Analytics, a Meta pixel, or any other advertising or analytics tool on this site. If that changes, we’ll update this page before it happens. The only third-party service this site loads is Google Fonts, covered in section 5.

03 How we use it

To reply to you, and to run the studio

We use what you submit to read your enquiry, reply to it, and, if you become a client, to deliver and manage the project you’ve hired us for. Every enquiry that comes through this site is read by a real person on our three-person team, not a marketing platform or an outside agency.

Our legal basis for this is your consent when you submit a form, our legitimate interest in responding to a business enquiry sent to us, and, once you engage us, the contract we enter into with you.

04 How long we keep it

Not forever, and not longer than the law requires

An enquiry that doesn’t turn into a project is kept for up to 24 months so we can follow up, then deleted, unless you ask us to delete it sooner. Where an enquiry becomes a paid project, we keep the related contractual and financial records for as long as UK tax and company law requires, currently up to six years, after which they’re deleted or anonymised.

05 Who we share it with

Our hosting provider, and no one else

We don’t sell, rent, or trade personal data, to anyone, for any reason. The only parties who ever see it are:

  • Railway, the hosting provider that runs this site and its database. Form submissions are stored there so we can read and respond to them.
  • Google Fonts, which serves the typefaces used on this site. Google’s font service can log your IP address as part of delivering the font files to your browser. We use it purely for typography, not for tracking, and we don’t receive any data back from it.

We may also disclose personal data where we’re required to by law, for example in response to a valid request from a regulator or a court.

06 International transfers

Where the servers actually are

Our hosting infrastructure can run on servers outside the UK, including in the United States, depending on how our provider allocates capacity. Where personal data is processed outside the UK or the European Economic Area, we rely on our provider’s own safeguards for that transfer and take reasonable steps to keep your data protected to a standard consistent with UK GDPR.

07 Cookies

We don’t use tracking cookies

Browsing the public pages of this site doesn’t set any advertising, analytics, or tracking cookie. The only cookie this site can set is a single secure, HttpOnly sign-in cookie used internally by our own team to access our private admin area. It’s only ever created if someone actually signs in there, it can’t be read by other sites or scripts, and it plays no part in how the public site behaves for you.

08 Your rights

What UK GDPR gives you

Under UK GDPR, you have the right to:

  • Ask us what personal data we hold about you, and get a copy of it
  • Ask us to correct anything that’s inaccurate or incomplete
  • Ask us to delete your data, where there’s no good reason for us to keep it
  • Ask us to restrict or object to how we’re using it
  • Ask for your data in a portable format, where it applies
  • Withdraw consent at any time, where consent is what we’re relying on

To exercise any of these, email contact@latentmedia.com. We’ll respond within one month. If you’re not satisfied with how we’ve handled your data, you have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office, at ico.org.uk.

09 Children

This site is for businesses, not children

This site and the services described on it are aimed at businesses and professionals. We don’t knowingly collect personal data from children.

10 Changes to this policy

We’ll update the date at the top

If we change how we collect or use personal data, we’ll update this page and change the “last updated” date above it. We’d encourage checking back here if it’s been a while since your last visit.
